`The invention concerns a function button, -icon or –menu for addressing in a word
`
`processing program.
`
`Known word processing programs offer different options to enter addresses in letters and
`fax messages based on data collection from databases or the like, or from the word processing
`program itself. An address register in a database needs to be updated by entering information
`directly into the database or the database program. This also requires that the user of the word
`processing program must learn how to access the database. Thus, an address or name change
`requires that the user of the word processing program enters the change into the database,
`sometimes such a change may be made in several places, and sometimes such a change may be
`made universally.
`
`In accordance with the invention, the button function significantly simplifies the entry
`and update of addresses in that this is done directly from the word processing program. Data
`entry is done by using the command button or –key in accordance with the invention in the
`manner described in the following claims.
`
`In any given word processing program, preferably one of the function buttons or a new
`icon is selected or a menu option is added. The user begins writing the letter by entering the
`addressee’s name or part thereof followed by tapping the function button and possibly clicking
`on the icon. Next, the program performs a search in a database or file (hereinafter referred to as
`“the database”) in order to find the part of the name or address, which was already entered. If the
`program does not find the name, the user will be asked if the name should be added to the
`database, and will then fill out other information regarding the name or address so that it may be
`stored in the database for future use.
`If the program does find the remaining part of the addressee’s name and/or address,
`respectively, the name and/or address will be filled as a replacement of the missing part of the
`existing name and/or address, which had already been partially entered, and the user may
`confirm that name and/or address is correct and that it needs to be used by tapping the key once
`again.
`If the entered data does not correspond to the data, which is already stored in the
`
`database, a tap on the button will enable the user to choose whether this is new data (for instance
`a new address), whether the entered data needs to be replaced with the data that was just entered,
`whether this concerns a new contact with the same name as an existing contact in the database or
`whether the

`used data is only intended to be used once.
`If a name with several addresses is retrieved, all addresses will appear and the requested
`address may be selected by using an arrow key.
`
`The program may also be expanded to also include telephone numbers, facsimile
`numbers, e-mail addresses, etc. A combination of usage of the address button and retrieval of
`a facsimile number or an e-mail address or a commando for sending e-mail or facsimile
`messages may also be incorporated into the program. By means of a mailing list and a
`selected address list, a merge letter may also be printed out.
`
`In accordance with the invention, the address button system constitutes a substantial
`simplification to the user in comparison to known programs and requires little to no training
`in that correct addresses are retrieved by means of a few taps on a key. In addition, a
`program, which performs the above referenced operations, may be programmed and
`developed in most known programming languages and may also be linked to most known
`word processing programmes.

`
`1. A function button, -icon or –menu connected to one single user operation in a
`computer, such as one single tap on a computer keyboard key, a click on a button in a
`window or program on a computer screen or selecting one single menu option in a
`program, characterized in that it is designed to retrieve names and addresses and/or to
`retrieve information related to another person or company while the user is working in a
`different program such as a word processing program; that a tap on the button causes the
`program connected to the function button to perform a search in a database or file, which is
`available on or via the computer with personal, company-related or address-related data, in
`order to find data corresponding to the data that was already entered or partially entered,
`such as a name and/or address in the word processing program; that the requested data from
`the database, which is related to the entered data such as the name of the person, company
`or the address, including any persons, companies or addresses, are shown and possibly
`entered as text or data in the word processing program if related data exist.
`2. A function button according to Claim 1, characterized in that if the data that has
`already been entered in advance does not correspond to data that is already been stored in
`the database, it will give the user the option to select whether (a) new data should be
`entered into the database, or whether (b) existing data in the database should be changed to
`reflect the new data, or whether (c) existing data in the database should be used in the
`word processing program in place of the new data that has already been entered, or that (d)
`the program should not take any action.
`3. A function button according to Claim 1, characterized in that if the address that
`has already been entered is incomplete or erroneous, it will cause the programme connected
`to the function button to complete or correct the address, either by itself or assisted by the
`user, based on algorithms and data available in and for the purpose of this functionality.
`4. A function button according to Claim 3, characterized in that the incomplete or
`erroneous data is due to the incorrect entry of the zip code, country, state or street name
`connected to the address or abbreviations of such and that the functionality finds and/or

`corrects the incomplete or erroneous data based on algorithms and data available in and for
`the purpose of this functionality.
`5. A function button according to Claim 4, characterized in that the data that has
`already been entered refers to a category or a group of people or companies, and that the
`functionality will assist the user in creating and/or mailing documents to all members of
`this category or group.
`6. A function button according to Claim 1, characterized in that the database is
`accessible so that the user may implement changes directly into the database.
`7. A button according to Claim 6, characterized in that the data to be retrieved may
`be set in advance, including a mailing address, facsimile number, e-mail address, etc.
